Xero Find and Recode: How to Fix Miscoded Transactions in Bulk

The Problem Find and Recode Solves
Every Xero file eventually develops coding drift. A new staff member codes fuel to General Expenses instead of Motor Vehicle Expenses. A bank rule written two years ago keeps sending a supplier to an account you have since archived. Someone applies GST on Income to an overseas software subscription that should be GST Free.
Fixing these one transaction at a time is slow and error prone. Find and Recode lets you search for transactions that meet set criteria and change the account, tax rate or tracking category on all of them in a single job.
Who Can Use It
Find and Recode is available to users with the Adviser role in Xero. If you cannot see it under the Accounting menu, check your user permissions with whoever administers the organisation. Many business owners have Standard access only, which is one reason this tool is often run by the bookkeeper or accountant.
Before You Start: Three Safety Checks
1. Check your lock dates. Xero will not let you recode transactions dated on or before the lock date. That is a protection, not an obstacle. If you have lodged a BAS for a period, changing the tax rate on transactions inside that period will change the figures on a return that has already gone to the ATO. Keep lodged periods locked unless you deliberately intend to correct them and understand the consequences.
2. Run a report first. Before any recode, run an Account Transactions report for the accounts involved and export it. If something goes wrong, you have a record of exactly how the transactions looked beforehand.
3. Fix the cause, not just the symptom. If a bank rule or a supplier default account created the error, update that first. Otherwise you will be recoding the same transactions again next quarter.
Step by Step: Running a Recode
Step 1: Open the tool
Go to Accounting, then Advanced, and choose Find and Recode. Depending on your Xero version the menu path may differ slightly, but searching "find and recode" in the Xero search bar will take you there.
Step 2: Set your search criteria
This is the most important step. Narrow the search as tightly as you can. Useful filters include:
- Account: the account the transactions are currently coded to
- Contact: a specific supplier or customer
- Date range: limit to the period affected
- Tax rate: for example, all transactions coded GST on Expenses within a certain account
- Description or reference text: useful for catching a recurring item like "Adobe" or "Telstra"
- Tracking category: if you are reorganising your tracking
A tight search is the difference between fixing forty Telstra bills and accidentally recoding four hundred unrelated transactions.
Step 3: Review the results
Xero shows you every matching line. Read through them. Untick anything that does not belong. This takes a few minutes and it is where most mistakes are caught.
Step 4: Choose what to change
Select the new account, tax rate or tracking option. You can change more than one attribute in the same job, but for anything involving GST it is often clearer to run separate jobs so you can check each effect on the reports.
Step 5: Confirm and check the results
Run the recode, then rerun your Account Transactions report and compare it with the export you took earlier. If the recode affected GST, run the Activity Statement or GST report for the period to see how the figures moved.
Common Situations Where Find and Recode Saves Hours
Overseas software subscriptions. Many overseas suppliers do not charge Australian GST if you have provided an ABN, so they should be coded GST Free or BAS Excluded depending on your setup. If they were coded with GST, you may have overclaimed input tax credits. Recode the open periods, then talk to your BAS agent about whether a correction is needed for lodged ones.
Restructuring your chart of accounts. If you split a broad account like "Office Expenses" into "Software", "Stationery" and "Internet", Find and Recode moves historical transactions into the new structure so your year on year comparisons still make sense.
Introducing tracking categories. When you start tracking by location, job or department, you can apply tracking to past transactions from a single supplier or account so your reports are not blank for the earlier months.
Cleaning up after a staff change. When a new team member has been coding inconsistently, a few targeted recodes can restore order quickly.
What to Watch Out For
GST changes in lodged periods. Worth repeating. If you change the tax rate on a transaction in a period that has been lodged, your Xero GST report will no longer match what the ATO holds. Small errors can generally be corrected on a later BAS within the ATO's rules, but you should confirm with your BAS agent before relying on that.
Not every transaction can be recoded. Some transaction types, such as payroll postings and certain system generated entries, sit outside what the tool can change. Check Xero's current help documentation for the full list, and fix any exceptions individually.
Reconciled transactions. Recoding changes the account, not the bank reconciliation, so your bank balance remains intact. It is still good practice to check your reconciliation report afterwards.
Preventing the Next Clean Up
Find and Recode is a cure. Prevention is cheaper. The habits that reduce recoding are straightforward:
- Set default accounts and tax rates on supplier contacts
- Review bank rules every quarter and archive ones that no longer apply
- Reconcile weekly so errors are caught while the context is fresh
- Use lock dates after every BAS lodgement
This is also where AI categorisation earns its keep. SortBooks learns how your business codes each supplier and transaction type, applies that consistently to new bank lines, and flags anything that looks out of pattern before it reaches your reports. Fewer coding errors going in means far fewer bulk recodes later, and a BAS you can trust the first time.
